B2B Appointment Setting Costs: How to Compare Quotes

Comparing quotes without comparing what counts as a qualified meeting can lead to expensive mistakes.

Three common commercial models

Monthly retainer, per-qualified-meeting and hybrid arrangements allocate risk differently. A retainer pays for capacity and process; per-meeting pricing depends heavily on the definition of an accepted meeting; a hybrid combines both.

Compare the entire operating scope

Ask who supplies contact data, outreach tools, calling numbers, scripts, CRM licenses, training, supervision, reporting and replacement coverage. The lowest headline price is not necessarily the lowest total operating cost.

Define meeting acceptance in writing

Agree target account attributes, decision-maker seniority, reason for meeting, CRM documentation, cancellation handling, no-show policy and dispute windows before launch.

Build a pilot scorecard

Track contacts attempted, conversations, positive replies, qualified meetings, attendance, accepted opportunities, CRM accuracy and handoff quality. Review quality and business outcomes rather than raw bookings.

Questions for prospective vendors

Who owns data and accounts? What is excluded from the fee? How are consent and applicable outreach rules handled? What happens if an agent leaves? How can either party end the engagement?
